Hubble Ledgers
Budget amounts are input in Hubble Ledgers and are the core of a budgeting solution. Hubble Ledgers can quickly be included in a GL Balances or JC Balances inquiry to develop Input Forms, Proforma Financial Statements, and Variance Analysis Reports. This ability to view Hubble Ledgers alongside actuals or prior budgets allows users to reference accurate and timely data when making decisions.
Multiple Hubble Ledgers can be used to designate versions (Original, Final) or Amount Type (Amounts, Units, Assumptions). Hubble Ledgers can be associated to one or more Cycles.
Hubble Ledgers Tab
TheHubble Ledgers tab allows Budget Administrators to manage Hubble Ledgers. The tab is accessed by selecting Hubble Ledgers from the Budgeting Menu or selecting the Hubble Ledgers tab from the Budget Setup dialog. From this screen Budget Administrators can Add a new Hubble Ledger, Edit or Delete an existing Hubble Ledger, or copy data to a Hubble Ledger via Ledger Copy.
Selecting the checkbox in the Active/Code Column adds the corresponding ledger to the current inquiry.
Note: You can include more than one Hubble Ledger in an inquiry. They can also be used by more than one cycle, including cycles of different activities.
Add or Edit a Hubble Ledger
The Add button allows you to define new Hubble Ledgers by entering the Code and Description, and selecting the Upload Ledger, and Type. After a Hubble Ledger has been created, the Description, Upload Ledger, and Type can still be changed, via the Edit button.
- Select Hubble Ledgers from the Budgeting Menu:
- From the Hubble Ledgers tab, click Add.
- Define the Ledger:

Code
- The Code can be any combination of letters, numbers and the percent sign (%).
- It must be unique with respect to your ERP and other existing Hubble Ledgers.
- The Code cannot be edited after the Hubble Ledger is created.

Description
- The caption of the Hubble Ledger, appearing in column headers, visual assists, etc.
- The Description can be edited after a Hubble Ledger is created.

Upload
- Select the JD Edwards Ledger to which submissions can eventually be uploaded.
- If you do not wish to upload this ledger, select the ‘No JDE Upload Ledger’ in the drop- down menu.
- Upload is only supported for JD Edwards EnterpriseOne.
- The Upload Ledger can be edited after a Hubble Ledger is created.

Type
- Select whether the Hubble Ledger will be used to store Amounts or Units.
- The selected Type should be the same type of the selected Upload Ledger.
- The Type can be edited after a Hubble Ledger is created.

Code
- Click OK to complete.
Delete a Hubble Ledger
After a Hubble Ledger has been created, the description, upload ledger, and type can still be changed, via the Edit button.
The Delete button will delete the selected Hubble Ledger, and all inputs associated to it. In order to delete a Hubble Ledger, it must first be removed from all Cycles.
Ledger Copy (JD Edwards Only)
The Ledger Copy button is used to bulk copy data from one or more JD Edwards ledgers and/or Hubble Ledgers into the selected Target Hubble Ledger. This feature is available only to Budgeting Administrators with a BUD license.
Common Uses
- Copy a working/draft budget into a new Hubble Ledger to save it as of that point in time.
- Copy a combination of the last year’s actuals and budget as a starting point for next year’s budget.
- When performing a mid-year reforecast, copy actuals into the closed periods, to create a projected year that contains actuals and budgets in one Hubble Ledger.
The Ledger Copy feature will copy data from the selected source Ledger(s), Year, and Period(s) into the same Period(s) for the chosen Target Hubble Ledger and Year. The data will be copied at the source’s Level of Detail, including any Subledgers. For example, if the source is a JD Edward’s AA Ledger that includes Subledgers, the Target Hubble Ledger will now include those amounts by Subledger.
Important: Exercise caution when utilizing the Ledger Copy feature to copy data from JD Edwards. The data stored in JD Edwards may be too voluminous, or at the incorrect level of detail to be used as desired in a budgeting process. Ledger Copy will copy JD Edwards records at a subledger level of detail and insert the records into the Hubble Ledger at a subledger level of detail. This means that in order to adjust the copied amount, Input Forms will need to include subledger. If the Input Form does not include Subledger, the new entry will be recorded against the account level and added to the detail.
Please test Ledger Copy in a Profile that uses a test Budget Database to be sure it is fit for your purpose.
The Ledger Copy feature has a source tracking identifier so that when users can identify which numbers have been populated through Ledger Copy. By holding CTRL+SHIFT while clicking Enter Budget, users can see that these numbers are identified as ‘Bulk Populated’ and have a lavender colored dot at the top right-hand corner of the cells.
When amounts with the ‘Bulk Populated’ data source are used in an Excel Model, they hold they same precedence as actuals and manual inputs. These values are pushed from the Hubble Form to update the Excel Model and not returned to Hubble. See Apply Model Rules section for more information.
Ledger Copy Steps
- Select Hubble Ledgers from the Budgeting Menu.
- Select the Target Hubble Ledger, the Hubble Ledger we will be copying data into.
- Click Ledger Copy.

Source – this section defines where data is copied from:
- Source – Select JDE or Hubble
- Ledger – Select source Ledger(s)– multiple ledgers can be selected for combining them into one target ledger.
- Year – select source Year
- Period – select source Period(s) or ‘All’

Target – this section defines where data is copied to:
- Hubble Ledger – Populated based on the selection when clicking ‘Ledger Copy’ in step 2.
- Year – Select the Target Year, which can be identical or different from the source Year.
- Budget Cycle – Select the Cycle in which the copied data should be associated with.
- Budget Form – Select the Form in which the copied data should be associated with.
- User Name – Select the User in which the copied data should be associated with.

- Click OK to execute and complete the Ledger Copy.
Tip: Best Practice with Ledger Copy:
- When using Ledger Copy, we recommend using a Budget Cycle and Budget Form designated solely for this purpose.
- If you wish to adjust the amounts in the Target Hubble Ledger after the ledger copy, be sure that Input Form is at the same level of detail as the Source. For Example, If a user goes into a form without the subledger column and you have done a ledger copy from a ledger with the subledger column, you are going to duplicate amounts.
